How to register KCSE KNEC Examinations


Introduction

Registering examinations is simpler than sitting for examinations. You need to follow the procedure clearly in order to get through this exercise no leakages pal.

Requirements

To register KNEC KCSE candidates, you need the following infrastructure to get started.
  1. Camera (not phone camera my dear, Ok! a camera with good pixel density)
  2. A computer or a phone which is internet enabled and with a Photo editor like MS photo manager
  3. Issue Index Numbers in ascending order of performance 
  4. Get each students KCPE index number and Birth certificate number ready
Prepare and print this form then issue to every candidate to fill

Actual online Exams Registration

Registering for KCSE KNEC examinations has evolved drastically; from analogue when things tuned on paper by pen to digital through online where everything revolves around keyboard, mouse and modem (‘KM & M’).

Facts about Registration

  • - Registration is made up of two phases, first phase starts November 1st and ends on December 31st
  • - In the first phase, students details and passports are sent online via http://www.knec-portal.ac.ke also, billing statement and nominal roll are downloaded and surrendered to the DEO office manually
  • - In the second phase, Payment is done and student details are confirmed. It starts from January 1st to March 31st
  • - Birth certificate number must be available
  • - KCPE index number is also needed and a must
  • - Each candidate is given Index number depending on their performance e.g. the best graded student should be index:001 and poor graded takes the last index //this is instrumental especially during marking examinations process by KNEC
  • - Each candidate should fill the form like the one given above and submitted to be filled into KNEC website

Passports

  • - Passports should be taken earlier and edited before uploaded. there are no clear picture dimensions given however I have always preferred (314x235) pixels because of portability. Choose a clear background and the student should directly face the camera. Crop it just below the chest while cropping unnecessary edge spaces. Stop putting too much brightness, color and contrast- let it be average depending on the environment where the picture was shot. No hair styles and rings. Let a student be a student – anything extra will be done a year after. All pictures should be taken in school uniforms.
  • - You can use Microsoft Office Picture Manager to edit the pictures because it’s easier and faster to use.
  • - Give each passport a caption after editing. A caption is a unique identity and here a unique identity in your student’s index number e.g. 11211333004 to avoid confusion during registration. //call it a file name, there is no harm.

Entry Forms

  • Print the form on page above and give each candidate a copy to fill. Direct them appropriately because a minor error can be very painful at the end.
  • // you are going to use these forms while entering details online therefore the accuracy of these details should be very observed. Don’t worry about the sequence of your student’s names because KCPE index number will be used to retrieve student names in the correct order during registration.
  • // kudos! You have completed the analogue part, now in the next phase I will take you a journey through ‘km & m’ – call it digital cautiously yawa!.

Register Online

Registering online is as easy as using your phone which you have no idea whether it’s using a ‘blood pigment’ called Android. Following instructions is the most ideal factor here. If you are ready, then lets wheel on.
// I hope your modem is a 3G enabled for the sake of access speed and also hoping that you did not wait for the last minutes to register when signals cause jams more pathetic than Jogoo road jams? Good!

Step 1:

Access http://www.knec-portal.ac.ke/ with your web browser most likely Firefox or Google Chrome but not internet explorer with a lot of questions as if “yeye ni polisi”. In that case you will have something like this on your desktop.

Step 2

You just guessed right, click on that button pointed by a red arrow to open a login page.

In simple terms enter the username which is your school’s code and a password. If you don’t have a password (this is a secret code only known to the user) send an SMS to 22262 with the format KCSE#centrecode e.g. KCSE#12345678 then wait for the reply- if none comes, write to them via email info@knec.ac.ke or just click this link http://www.knec.ac.ke/main/index.php?option=com_flexicontact&Itemid=119
Now click log in button to access your school database account after entering password

Step 3

In this stage we are going to enter new candidates into our school’s database in KNEC IT store. We therefore go ahead and select enter new candidate(s) option in the task option control.

Step 4

Start filling one candidate after another in the form that appeared preferably, start with index 001 in ascending order. Fill as illustrated:

Enter KCPE index and year to retrieve student’s records from the database and then click find

Fill as provided. If your student has no disability, let it be blank. Click browse button (11) to trace the passport then click display photo before moving to the next level

Select and fill subject slots which are either 8 or 9 depending on the school then click post to submit the details of 1 student. Continue filling this form until all students’ details are exhausted.

Step 5

Check whether your registration was successful by clicking back.

Now select nominal roll option and then click view then wait
// it may take a little bit longer – “jipe shuguli” for like 5 minutes before checking on it.

Step 6

Export your nominal roll into your computer for printing and confirmation by students
Select file format. // I prefer PDF myself, don’t ask me why but word or excel are also good- I mean PDF is a read only document thus details are safe no matter what happens. After selecting file format, click export, select a folder in your computer where you want to export to, and then click ok.
If you don’t understand what am talking about, then click export then ok and ok until you see your computer downloading something. Locate the download and print it. Take it to the students to rectify errors before you continue debugging the database for registration errors called transcription errors in computer.

Step 7

Edit existing candidate

Click back then select edit existing candidate to rectify errors that were made during data entry. In a window that appears like the one shown below:

Get financial details.

Click back, then select

Click on pay advice. After advice, fill the pay details as shown below.

Conclusion

Hurray! You have just done what we call registering candidates online and you are now compliant. However we need two analogue documents that will be signed by the principal before forwarded to the DEO’s office. And this includes: the edited nominal roll and payment details. To do that, download both, print and take them to your principal.
// get the hell out of that office and continue with your duties as usual. God will pay you anyway for doing a commendable job.
